Lehigh Hanson is seeking a qualified Leave of Absence Coordinator. This position will reside at the corporate office in Irving, Texas.

The Leave of Absence Coordinator will be responsible for NAM benefit related activities associated with employees. This position will be a member of a team that supports payroll, tax compliance, HR administration, contract administration, and reporting. Expectations include supporting daily production and programs within Leave of Absence Administration. This position will partner and communicate with other Employee Services Associates and other internal departments as well as external third-party providers.

ESSENTIAL RESPONSIBILITIES and TASKS

  • Execute operational practices and controls within Leave of Absence Administration in accordance with strategies, practices and guidelines for:

  • Knowledgeable of FMLA Compliance guidelines on the federal and state levels. Also knowledgeable of HIPAA rules as well and Lehigh Hanson’s FMLA, Leave of Absence and Return to Work corporate policies. Exercise good judgment in performing responsibilities and identifying potential issues to team lead.

  • Communicate with the locations and all levels of HR about the status of each leave. Process claims and act as liaison between employees and benefit plan carriers in all aspects of STD, LTD and life insurance waiver claims. Able to communicate in a sensitive manner with employees, local management and corporate HR regarding leave issues.

  • Communicate with the leave of absence administrators.

  • Provide payroll instructions for employees on paid leave.

  • Determine Leave of Absence Eligibility

  • Assist with Union Related Leave of Absence

  • Review and sign off of payrolls

  • Assist with testing of applications and system upgrades

  • Issue Resolution

  • Employee Leave of Absence Transactions

  • Third party files and payments for H&W

  • Meet service delivery expectations and ensure immediate communication if expectations are compromised

  • Perform responsibilities in accordance with Employee Services processes, policies, systems, and practices established to maintain key controls and maximize operational efficiencies

  • Demonstrate knowledge related to company policies and regulations in connection with respective Leave of Absence Administration activities

  • Communicate potential issues to supervisor and/or management, make recommendations or modifications to management as appropriate

  • Expected to build relationships and work productively with team members, internal customers and third parties to ensure open communication and understanding for the respective service / program

  • Maintain employee benefit records and work-paper documentation in accordance with internal requirements to ensure compliance with policies and mandated regulations

  • Actively participate in training and development opportunities

  • Build on knowledge base related to the functional area and operational processes and controls

  • Maintain records in accordance with departmental guidelines to support plan and/or mandated audits of prior year information

  • Maintain leave procedures, develop and/or maintain scripting for testing and implementation of projects and changes in technological tools

  • Utilize problem solving and communication skills to assess and effectively resolve issues related to routine activities

  • Support business requirements and deliver a high level of customer satisfaction

  • Ability to effectively communicate in verbal and written form

  • Participate in special projects and/or corporate initiatives as needed

  • Maintain confidentiality of information

  • Support other areas of Employee Services as needed to meet organization goals

MINIMUM QUALIFICATIONS

  • 5 - 6 years of experience in customer service, high volume, and detailed oriented corporate environment

  • High School diploma

  • Intermediate skills in Microsoft Office Products: Word, Excel, and Outlook

  • Good written, verbal communication and basic math skills

  • Ability to work in excess of 40 hours weekly as needed

  • Must have good organizational skills, excellent customer service abilities, attention to detail and be a successful team player

  • Must be able to work in a fast-paced environment with ability to handle multiple projects and deadlines simultaneously

PREFERRED QUALIFICATIONS

  • 1 - 3 years of experience with Leave of Absence Administration

  • College degree
